The Proposal That Gets the Yes: a brass key with a one-page proposal tied to its ring, beside an open padlock

A business proposal template gives every proposal the same five answers: what is wrong today, what you will do about it, why you, what it costs and what the client does next. Below is a free template you can copy, five business proposals made as One-Pagers with every number checked, and a list of what to cut when your proposal will not fit on one page.

Pinterest pin of the 5 questions every business proposal must answer: what is wrong today, what you will do, why you, what it costs and what happens next, each with the line of the proposal that answers it

We read the three pages ranking at the top of Google for "business proposal template" on 20 October 2026: Canva's proposal templates, Microsoft Word's business proposals and Proposify's template gallery. All three are galleries of blank designs. Word's page says a pricing section belongs in every proposal, but none of the three shows a filled proposal where the prices add up to the total and the payments add up to the price. That is the part clients check first, so every example below does it.

Every example was made with MakeOnepagers and opens as a template you can edit for free.

What is a business proposal?

A business proposal is a document you send to one client or partner to win a specific piece of work. It names their problem, your fix, the price and the date you need an answer. San Jose State University's writing center puts it plainly: it is a document you send to potential customers to persuade them to do business with you.

It is not a business plan. A business plan explains your whole company to investors or to your own team. A proposal is about one deal with one buyer. Xero's guide draws the same line: proposals focus on a client's problem and your solution, plans are for internal stakeholders and investors.

There are three kinds, and the kind changes how much you write:

KindWhat happened beforeHow long it should be
SolicitedThe client sent a request for proposal (RFP) with rulesAs long as the RFP asks, with a one-page summary on top
Informally solicitedYou talked, and they said "send me something"One page. They already know you
UnsolicitedThey never askedOne page. Nobody reads ten pages from a stranger

Two of the three are best on one page. Even the third gets read faster with a one-page cover that the rest of the document backs up.

The 5 questions every business proposal must answer

Most guides list ten sections: title page, table of contents, executive summary, problem, solution, timeline, qualifications, pricing, terms and a signature block. That is the long version. Each of those sections exists to answer one of five questions the client is asking:

  1. What is wrong today? The client's problem in their own numbers. "Average wait 47 minutes" beats "long waits".
  2. What will you do? Your fix, in three or four lines, and what is different once it is done.
  3. Why you? One proof: a result you got for a client like them, a license, a guarantee. One strong line beats a page of logos.
  4. What does it cost? Every line priced, the total, and when each payment is due. The line items must add up to the total.
  5. What happens next? The date you need a signature, the start date it holds, and one person to call.

Answer those five and you have a proposal. Everything else is decoration, an appendix, or a contract the client signs after saying yes.

PartWhat to write, with an example
TitleThe outcome, not the service. Proposal: Shorter Queues at the Marlow Valley Walk-In
Prepared for and byBoth names and the date. For Marlow Valley Clinic, by Quayside Health Systems, November 2026
Today3 facts about the problem, in their numbers. Half the day's patients arrive by 10 am. Average wait 47 minutes
With usThe same 3 facts after your fix. Wait target: 30 minutes
What changes2 to 4 numbers the client cares about. Time in the waiting room -36%. Devices to buy: 0
PlanPhases with dates or months. Month 1 prepare, month 2 test, months 3 and 4 go live
PriceEach line, the total, the payment terms. Setup $14,500 once. Subscription $1,900 a month
Why usOne proof line. Fixed price. 90 days of fixes included
Next stepSign-by date, start date, one name and number. Sign by 20 Nov to hold the 1 Dec start

Keep the price and the next step on the same page as the problem. If the client has to turn a page to find what it costs, many will not.

5 business proposal examples

1. Business proposal for a service, with a rollout

A sample business proposal One-Pager made with MakeOnepagers: Proposal: Shorter Queues at the Marlow Valley Walk-In, prepared for Marlow Valley Clinic by Quayside Health Systems, today against with Quayside in three lines each, what changes in four numbers, a four-month rollout chart, setup $14,500 once, $1,900 a month, payback in about 9 months, and a phone and email for the next stepEdit this template

A software company's proposal to a clinic: today beside tomorrow, four numbers that change, a rollout by month and the price with its payback.

What to copy:

  • Today and with us, side by side, in the same three lines. "Average wait 47 minutes" sits across from "Wait target: 30 minutes", so the client reads the change without hunting for it.
  • A number the client did not ask for but wants: "Devices to buy: 0". It answers the objection before anyone raises it.
  • Payback beside the price. "About 9 months" turns $14,500 into a decision about time, not money.

2. Software development proposal with a fixed price

A sample software development proposal One-Pager made with MakeOnepagers: Field Inspection App for Crestline Property Services from Northwind Code Studio, valid until 15 Dec 2026, the goal in three short paragraphs, a bar chart of where the $106,000 fixed price goes, a price table of five work items with weeks and prices, payment terms of 30%, 40% and 30%, and three numbered next steps from signing to launchEdit this template

A studio's fixed-price offer to build an app: the goal, where the money goes, five priced work items, payments by milestone and three dated next steps.

What to copy:

  • A valid-until date in the subtitle. "Valid until 15 Dec 2026" gives the client a reason to answer this month.
  • The price twice: as a chart and as a table. The chart shows the inspector app is the biggest line at $46,500; the table proves the five lines add up to $106,000.
  • Payments tied to delivery. 30% on signing, 40% at beta, 30% at launch: $31,800, $42,400 and $31,800, which also add up to $106,000. We checked.

3. Fee proposal for professional services

A sample fee proposal One-Pager made with MakeOnepagers: Fee Proposal: Structural Engineering for the Riverside Medical Office Building, for Arden Architects by Keystone Structural, a short description of the project and the role, the fee by phase from schematic design to construction administration plus a reimbursables allowance, a $62,400 total, a donut of the base fee by phase, and the ask with sign-by date, billing, hourly rates for extra work and the contactEdit this template

An engineering firm's fee to an architect: the project in two sentences, the fee by phase, how billing works and what extra work costs.

What to copy:

  • The scope in two sentences. "Structural engineer of record under the architect, from the concept set of 26 Oct 2026" says exactly where the work starts and stops.
  • Rates for extra work, written down before anyone needs them. "Principal $215, engineer $165 an hour" ends the argument about change orders before it begins.
  • A footnote that sets a boundary. "Bidding stays with the architect" tells the client what is not included, in seven words.

4. Renovation proposal for a homeowner

A sample renovation proposal One-Pager made with MakeOnepagers: Kitchen and Bath Renovation Proposal for the Alvarez family from Brookfield Remodeling Co., a photo of a finished kitchen, a fixed price of $56,753, 9 weeks on site, a $5,675 deposit and a 2-year warranty, the scope of work in four lines, a price table from demolition to a 5% contingency, a five-step schedule by week and the ask to sign by 20 November 2026Edit this template

A remodeler's proposal to a family: four numbers at a glance, the scope, a priced list of trades, the weeks on site and the ask.

What to copy:

  • The four things a homeowner asks first, in four boxes: fixed price, weeks on site, deposit and warranty.
  • Contingency as its own priced line. "Contingency (5%) $2,703", with a footnote that it is 5% of the $54,050 subtotal. Hiding it inside other lines is how trust is lost in week six.
  • The ask holds a date. "Sign by 20 November 2026 with the $5,675 deposit to hold the 11 January start." The client knows what they lose by waiting.

5. Catering proposal with a quote

A sample catering proposal One-Pager made with MakeOnepagers: Catering Proposal: Brightline Year-End Dinner from Fig and Ember Catering, Friday December 11, 2026 at The Foundry, Kansas City, for 140 guests, a photo of grain bowls, the evening from 6:00 to 10:00, the menu, dietary needs on file, a quote of food, bar, staff, rentals and service charge totaling $21,320 or $152.29 a guest, and the deposit, final count date, planner and email to hold the dateEdit this template

A caterer's proposal for a company dinner: the evening hour by hour, the menu, the dietary needs, the quote and what holds the date.

What to copy:

  • The client's own details played back. "14 vegetarian, 6 gluten-free, 3 nut allergies" shows you listened before you priced.
  • The math shown in the detail column. "$68 a guest x 140" and "20% of food and bar" let the client check $9,520 and $2,800 without a calculator.
  • The price per guest at the bottom. $152.29 is the number an office manager compares against the last caterer.

How to fit a business proposal on one page

Xero says a typical proposal runs from 5 to 50 pages. Most of that length is safe to move or cut:

  • Cut the table of contents. One page needs none.
  • Cut the company history. Keep one proof line that matters to this client. Your company profile can travel as a second sheet.
  • Move the terms and conditions to the contract the client signs after saying yes. Keep payment terms on the proposal, because they are part of the price.
  • Turn paragraphs into the five answers. If a paragraph does not answer one of the five questions, it goes.
  • Show the plan as phases, not tasks. Three to five steps with dates. The task list belongs in the kickoff meeting.
  • Write the executive summary last, or skip it. On one page, the whole page is the summary. For a long RFP response, put an executive summary on top instead.

Word, Google Docs, PowerPoint, or a One-Pager?

Google shows people adding "word", "google docs", "ppt" and "free download" to this search. Here is what each is good for.

FormatBest forWhere to get one
A designed One-PagerInformal and unsolicited proposals, read on a phone or printed for one meetingMakeOnepagers, free to edit and download as a PDF
Word or Google DocsLong RFP responses with numbered sections and appendicesMicrosoft Word's templates, including a one-page one
PowerPoint or SlidesA proposal you present live in the roomAny deck, with the five questions as five slides
Proposal softwareTeams sending dozens a month who need e-signatures and trackingProposify and similar tools

The format matters less than the order. A client should find the price and the next step without scrolling.

Common mistakes

  • Describing yourself before the client's problem. The first line is about them.
  • A total that does not match its lines. Add every price table up before you send it. A client who finds a wrong sum stops trusting every other number.
  • No date on the ask. "Let us know" gets no answer. "Sign by 20 November to hold the 1 December start" does.
  • Five proofs where one would do. Pick the result closest to this client's problem.
  • Generic benefits. "Save time" means nothing. "-6 hours of front-desk typing a week" means something.

Frequently asked questions

What should a business proposal include?

The client's problem in their numbers, your fix and what changes, one proof that you can do it, the price with each line and the payment terms, and the next step with a sign-by date and a contact.

How long should a business proposal be?

One page for informal and unsolicited proposals. A formal RFP response is as long as the request asks, with a one-page summary on top. Xero puts typical proposals at 5 to 50 pages, and most of that can move to an appendix or the contract.

What is the difference between a business proposal and a business plan?

A business proposal asks one client or partner for one deal. A business plan explains your whole company to investors or your own team. If you need the second, start with a one-page business plan.

Is there a free business proposal template?

Yes. Copy the table above, or open any of the five examples in MakeOnepagers and edit every word, number and color for free.

Can I make a business proposal in Word or Google Docs?

Yes, and for a long RFP response that is the right tool. For a one-page proposal, a designed template is faster: the layout, tables and charts are already in place, and you download it as a PDF.
