Board Meeting Report Template: How to Write One, With 5 One-Page Examples
A board meeting report template on one page, the 6 parts directors read first, and 5 examples: finance, a decision paper, a committee paper and more.

A board meeting report template gives directors the same six things before every meeting: the headline, the results against plan, the risks, what has changed since the last meeting, the decisions the board is asked to make, and what happens next. Directors read it in the days before the meeting, so the meeting itself goes on questions and votes instead of a slide-by-slide walk-through. Below is a one-page template you can copy and five real board report examples, from a financial report to a paper asking the board to approve a decision.

What is a board meeting report?
A board meeting report is the document management sends to the board of directors before a board meeting. It can be a CEO report covering the whole business, a CFO report on the numbers, a paper from a committee, or a decision paper on one question. Whatever the type, it does two jobs: it tells directors how the organization is doing, and it prepares them for what they have to decide.
Most board packs are long. The one-page version sits on top of the pack and says what matters. Directors who read only that page should still walk into the meeting knowing the result, the risks and the vote.
The 6 parts of a board meeting report
- Title, meeting date and purpose. "Board Paper: Enter the German Market, for decision, board meeting 28 October." Say whether the paper is for decision, for discussion or for information.
- The headline. One or two sentences on how things stand. "Two thirds done, on budget. Release 4 needs a decision on scope before 20 October."
- Results against plan. Three to five numbers, each against the budget, the target or last year.
- What has changed since the last meeting. Two or three lines. Directors remember the last pack, so start where it ended.
- Risks. Each with its size and what management is doing about it. A grid of impact and likelihood shows them at a glance.
- What the board is asked to do. The decision, the options considered, the recommendation and the date of the vote.
A one-page board meeting report template
| Section | What to write, with an example |
|---|---|
| Title | Topic, meeting date, purpose. Board Paper, 28 October, for decision |
| Headline | Where things stand in 1 or 2 lines. 64% of the program done, on budget |
| Results | 3 to 5 numbers against plan. Revenue $48.6M, up 22% on last year |
| Since last meeting | 2 or 3 changes. Login moved to the new app, 0 incidents |
| Risks | Risk, size, action. Tax set-up may take longer than 4 months |
| Board is asked to | The decision and the date. Approve $600k for the partner route |
Send it with the board pack, a week before the meeting if you can. A director who has a question can then ask it before the meeting instead of during it.
5 board meeting report examples
Five reports from five different seats at the table: the CFO, the CEO, a committee chair, a nonprofit director and a startup founder. Each keeps the six parts above, weighted toward what that board has to decide.
1. CFO finance report to the board
Edit this template
A manufacturer's finance report: the year in three numbers, then the bridge from budget to actual.
What to copy:
- Covenants next to their limits. "Debt to EBITDA 1.4x, limit 3.0x" answers the lender question before anyone asks it.
- A bridge, not a list. The EBITDA chart walks from the $9.1M budget to $9.8M actual: volume up, steel price down, price rise up.
- What changed, in numbers. Steel coil up 7%, two orders worth $1.4M pulled into Q3, days sales outstanding down from 52 to 47.

2. CEO report with a decision for the board
Edit this template
A software CEO's quarter on one page, ending on the vote.
What to copy:
- Results against plan, not against last quarter. $14.2M recurring revenue against a $13.6M plan tells the board whether the plan was right.
- Each risk paired with an action. Ten customers are 31% of revenue, so the answer is a mid-market push of 60 new logos a quarter.
- The decision with its numbers. Approve the Canada launch: $1.1M in 2027, payback in 22 months, vote today.

3. Audit committee report to the board

The committee chair's report: what is open, who owns it, and when it closes.
What to copy:
- Every high finding has an owner and a date. "Leavers kept system access for 30+ days: CIO, 30 November."
- The hit rate, against its target. 82% of findings fixed on time, target 90%, so the board sees the trend, not just the list.
- The auditor's fee and other work. $412,000 for the audit and $38,000 of tax work, so independence is on the page.

4. Nonprofit director's report to the board
Edit this template
A food bank's quarter, led by the one ask: release $150,000 from reserves.
What to copy:
- The ask in the first lines. Busiest quarter yet, donated food down 11%, so the board is asked to release $150,000 to buy food.
- Board giving on the page. 100% of board members have given to the campaign, which is what funders ask first.
- Motions with their reason and a recommendation. Release reserves, adopt the gift policy, accept the clean 2025 audit.

5. Startup founder's report to the board

A Series A founder's report: runway, the funnel and what the board can do to help.
What to copy:
- Runway next to burn. 19 months at $410K a month, against a plan of $455K, is the number every investor director checks first.
- Misses as plainly as wins. The Android app slipped six weeks and two large farms left over price, both on the page.
- Asks a director can act on. Intros to two grain co-ops, the option pool from 10% to 13%, a date for the Series B talks.

How to write a board meeting report in 5 steps
- Start from the decision. Write down what the board has to decide at this meeting. Everything else in the report supports that.
- Pick the numbers the board tracks. The same three to five every time, against plan, so directors can compare meetings.
- Say what changed since the last meeting. Open last meeting's report and answer every open question in it.
- Name the risks and what you're doing about them. A board that finds a risk on its own stops trusting the report.
- Write the ask. The decision, the options, your recommendation and when the vote happens.
If the figures are already in a spreadsheet, a management report or last quarter's board pack, MakeOnepagers reads the file and builds the one-page board report from what's in it, which you then edit.
Board report mistakes
- The decision on the last page. Directors read the top first. Put the ask there.
- Numbers with nothing to compare against. "$8.3M operating income" needs last year or the budget beside it.
- Only good news. Boards read reports for what could go wrong. Show the risks and the plan for each.
- A different layout every meeting. Use the same template so directors know where to look.
- Sending it the night before. Directors need time to read and ask questions. Send it with the pack, days ahead.
Frequently asked questions
What should be included in a board meeting report?
A title with the meeting date and whether it's for decision or information, a headline, the key results against plan, what changed since the last meeting, the main risks with actions, and what the board is asked to decide.
How long should a board report be?
The summary should fit on one page. Supporting detail, such as full accounts or committee minutes, goes in the board pack behind it. Directors read the one page first and turn to the detail only where they have questions.
What is the difference between a board report and board minutes?
A board report goes to directors before the meeting to prepare them. Minutes are written after the meeting and record what was discussed and decided. The report feeds the meeting; the minutes record it.
Who writes the board report?
Usually the CEO, with the CFO writing the financial section. Committee chairs write their own committee reports, and the person proposing a decision writes the decision paper.
Is there a free board meeting report template?
Yes. Copy the six-row template above, or open any of the examples on this page in MakeOnepagers and replace the figures with your own. Make yours free with the AI One-Pager Generator, and editing by hand is always free.
